These Terms of Use are between you and VedaSign Ltd · Company No. 17288206 · 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. Please read them carefully before using VedaSign.
1. Acceptance of Terms
By creating an account or using VedaSign you agree to these Terms. If you do not agree, do not use the service.
2. The Service
VedaSign provides a digital document signing platform. We grant you a non-exclusive, non-transferable licence to use the service during your active subscription.
3. Your Account
You are responsible for maintaining the security of your account credentials. You must not share your login details with anyone outside your organisation.
4. Acceptable Use
You must not use VedaSign to:
- Sign fraudulent or illegal documents
- Impersonate another person or organisation
- Upload malicious files or content
- Attempt to gain unauthorised access to our systems
5. Fair Use Policy
VedaSign offers unlimited documents and unlimited users per organisation under a single flat-fee subscription. This is intended for use by a single legitimate business organisation and its employees or contractors.
The following are not permitted:
- Sharing your account or organisation access with individuals outside your business
- Using a single subscription to provide document signing services to multiple separate businesses or clients
- Reselling or sublicensing access to VedaSign to third parties
- Creating multiple accounts to circumvent subscription limits
- Using automated systems to generate documents at a scale inconsistent with normal business use
We reserve the right to suspend or terminate accounts that we reasonably believe are abusing the fair use policy. In such cases we will contact you first and give you the opportunity to remedy the situation before taking action.
If you operate an agency or manage documents on behalf of multiple client businesses, please contact us at support@vedasign.uk to discuss a suitable arrangement.
6. Fair Use & Multiple Organisations
VedaSign's £15/month subscription covers one business entity (one Organisation) with unlimited users, documents and teams. Customers operating multiple separate legal entities, subsidiaries or brands requiring their own separate Organisation should contact enterprise@vedasign.uk to arrange appropriate billing. Each additional Organisation is £15/month. Accounts found to be operating multiple business entities under a single Organisation may be contacted to arrange correct billing.
8. Documents and Data
You retain full ownership of all documents you upload. We do not access your documents except as required to provide the service or as required by law.
To request access to your documents after account closure, contact support@vedasign.uk from your registered email address within 7 days of closure. We will restore temporary read-only access for 48 hours to allow document retrieval. Requests received after 7 days cannot be fulfilled as data will have been permanently deleted.
9. Data Processing Addendum (DPA)
When you use VedaSign to send documents to third parties, you act as the Data Controller and VedaSign acts as the Data Processor under the UK Data Protection Act 2018 and UK GDPR.
- Scope & Processing: VedaSign will only process personal data (names, emails, IP addresses, document content) for the sole purpose of providing and maintaining the electronic signature service as instructed by you.
- Confidentiality: We ensure that all personnel authorised to process customer data are committed to strict confidentiality.
- Security: We implement appropriate technical security measures (including 256-bit AES encryption at rest and SSL/TLS in transit) to safeguard data against unauthorised access or loss.
- Subprocessors: You authorise VedaSign to engage infrastructure subprocessors (specifically AWS/DigitalOcean for UK hosting, Stripe for payments, and Maileroo for transactional emails). We ensure these subprocessors maintain data protection standards equivalent to our own.
- Data Breaches: In the event of a confirmed data security incident, VedaSign will notify affected customers without undue delay.
10. Data Protection Registration
VedaSign operates in strict compliance with the UK Data Protection Act 2018 and the UK Information Commissioner's Office (ICO) guidelines.

If your corporate compliance department requires a standalone, countersigned copy of this Data Processing Addendum (DPA), please email your request to privacy@vedasign.uk and we will issue an executable copy via VedaSign within 2 business days.
11. Subscription and Payment
Subscriptions are billed monthly. You may cancel at any time. No refunds are given for partial months. Access continues until the end of the current billing period upon cancellation.
Upon cancellation, your account remains fully active until the end of your current billing period. After this date your account will be disabled and you will have 7 days to contact support@vedasign.uk to request retrieval of your documents. After this 7-day period all documents are permanently deleted from our servers in line with UK GDPR data retention requirements. VedaSign accepts no liability for documents not downloaded prior to account closure.
12. Service Availability
We aim for 99.9% uptime but do not guarantee uninterrupted service. We are not liable for losses caused by service downtime.
13. Limitation of Liability
To the maximum extent permitted by UK law, VedaSign shall not be liable for any indirect, incidental, special, or consequential damages, or any loss of profits, revenue, data, or business opportunities. In all circumstances, VedaSign's total aggregate liability for any claim arising out of or related to the use of the service is strictly limited to the total amount you paid to VedaSign in the 3 months prior to the claim.
14. Governing Law
These Terms are governed by the laws of England and Wales. VedaSign Ltd · Company No. 17288206 · 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ is incorporated in England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Changes to Terms
We may update these Terms from time to time. We will notify you by email of any material changes.
